Special Orders — Terms & Conditions

Whether you're reserving an upcoming release or seeking a particular title to add to your collection, we're happy to help you find your next great read. These terms explain how our Special Order and Pre-Order service works.
By submitting an order request through our website, you acknowledge and agree to the following terms.
1. Submitting an Order Request
Our Special Order Request Form is intended for customers who wish to purchase a specific book, reserve an upcoming release, or request a title that is not currently available in our shop.
Please provide accurate contact information and the title, author, edition, format, or other identifying details requested on the form.
Submitting the form begins the ordering process but does not automatically guarantee availability or constitute final acceptance of your order. We will review your request and contact you to confirm availability, pricing, estimated fulfillment time, and next steps.
2. Availability and Order Confirmation
We make reasonable efforts to source requested titles through our suppliers and distribution partners. However, availability cannot be guaranteed. A title may be out of print, backordered, discontinued, or unavailable through our suppliers.
Before you pay, we will confirm the details we can verify, including the requested title, price, applicable taxes, shipping charges if applicable, and estimated fulfillment timeline.
Your order is considered accepted once The Ink Conservatory confirms the order and provides the applicable payment instructions.
We will not substitute a different title, edition, or format without your approval.
3. Pricing and Payment
The final price will be confirmed before payment. Prices may vary based on the edition, supplier cost, availability, and other applicable charges.
Applicable sales tax and any shipping charges will be disclosed before payment.
Payment is due after availability and order details have been confirmed. We will provide an invoice or payment link with instructions for completing your purchase. Your requested item is not guaranteed or reserved until we have confirmed the order and, where applicable, received payment.
If payment is not received by the stated deadline, we may cancel the order after notifying you. Any reservation or supplier hold may also be subject to availability.
4. Pre-Orders and Upcoming Releases
Pre-orders allow you to request an upcoming book before its release. Publisher release dates, cover artwork, descriptions, editions, and other product details may change.
We will make reasonable efforts to source accepted pre-orders and fulfill them as close to the announced release date as possible. However, we cannot guarantee delivery on the publication date.
If a release is delayed, canceled, or becomes unavailable, we will contact you to explain the available options. If we cannot fulfill a paid order, we will arrange an appropriate refund for the unfulfilled purchase.
5. Special Orders
Special orders are requests for books that we may need to obtain specifically for you rather than from our current inventory.
We will confirm availability, pricing, and estimated fulfillment time before requesting payment. Some titles may have limited availability or supplier restrictions that affect how quickly they can be obtained.
We will keep you informed of material changes to your order and will not knowingly substitute a different item without your approval.
6. Returns, Refunds, and Cancellations
You may request cancellation of your order at any time before it ships. Please contact us as soon as possible at inkconservatorybooks@gmail.com and include your name and order details.
We will confirm whether the cancellation can be completed. If payment has already been collected, we will issue any applicable refund for a successfully canceled order.
Once an order has shipped, it can no longer be canceled under this policy. Any return or refund request after shipment will be handled in accordance with our separate Shipping & Returns Policy.
Items that are damaged, defective, incorrect, or otherwise eligible for a remedy under applicable law will be handled in accordance with our published policies and legal obligations.
7. Shipping and Local Pickup
Depending on the order and available options, you may choose shipping to your provided address or local pickup.
Shipping: Available shipping methods, charges, and estimated delivery timelines will be communicated before payment. Delivery estimates are not guarantees, and carrier delays or circumstances outside our control may affect arrival dates.
Please ensure that your shipping address and contact details are accurate. We cannot be responsible for delivery issues caused by incorrect information provided by the customer.
Local pickup: If you select local pickup, we will contact you when your order is ready and provide pickup instructions. Please wait for our confirmation before attempting to collect your order.

8. Customer Responsibilities
By submitting an order request, you confirm that the information provided is accurate and that you intend to purchase the requested item if the order is confirmed under the terms provided.
Please review your confirmed order details carefully and notify us promptly if you identify an error. We will do our best to help correct issues before the order is submitted to a supplier or shipped.
9. Privacy and Communications
Information submitted through the Special Orders & Pre-Orders form will be used to review and process your request, communicate with you, arrange payment and fulfillment, and provide customer service.
We may contact you by email regarding availability, order confirmation, payment instructions, delays, cancellation requests, pickup arrangements, or shipping updates.
Your information will be handled in accordance with our Privacy Policy. We do not use your order request as consent to unrelated marketing communications.
10. Changes to These Terms
The Ink Conservatory may update these terms as our ordering process evolves. Any updates will be published on this page. The terms communicated when your order is accepted will generally apply to that order, subject to applicable law.
